Privacy Notice for Communications Events

Your trust is very important to us. This means the ±«Óătv is committed to protecting the privacy and security of your personal information. It is important that you read this notice so that you are aware of how and why we are using such information. This privacy notice describes how we collect and use personal information about you during and after your relationship with us, in accordance with data protection law.

Why are we doing this and how can you participate?

The ±«Óătv is offering a virtual events experience, which you can participate in from the comfort of your own device.

When you register for a webinar, Zoom will collect your name, organisation and email address. Once you are approved to attend a webinar, you will receive via email a link to take part through Zoom. Make sure you have internet access with Zoom installed so you can view the webinar.

Once you are in the webinar, you will be able to watch it and submit questions via the Q&A box. Any comments or questions that you submit will be reviewed by our moderation team before they are passed on to our event host for discussion with the panel.

What ±«Óătv will collect and how we will use it

The ±«Óătv will collect and process the personal information that you have provided to us about yourself. We will process your email address in order to invite you to the webinar, and your name, organisation and email address if you register. If you submit a question during the event we will also collect and store your submission as well as your name. Other audience members will not be able to see your comment or question when it is submitted but it may be read out during the event.

We will also collect the name of the country you are watching the event from, and your join and leave time. We will use this information to inform us where people are watching our events and in general how long they stayed to watch them for, so that we can identify which events are more successful and how well we are reaching our audiences.

Personal data

You must be 18 years or older to participate in our online events. If you are under 18 you must be registered and accompanied by an adult.

The data we already hold about you includes your name, email address and organisation. If you sign up to one of our events, you will also be asked to provide the below details as part of your registration.

  • Your name
  • Your email address
  • Your organisation

Additional information that we will collect through Zoom:

  • Your question if you choose to submit one, with your name linked
  • Your country
  • Your join and leave time
  • Your registration date
  • If you do not attend a webinar you have registered for

We use Zoom as our third party processor to gather this information.

Who is the Data Controller?

The ±«Óătv is the “data controller” of your personal information. This means that the ±«Óătv decides what your personal information is used for, and the ways in which it is processed. For the avoidance of doubt, your personal information will be collected and processed solely for the purposes set out in this privacy notice. As the data controller, the ±«Óătv has the responsibility to comply, and to demonstrate compliance with, data protection law.

Lawful basis for processing your personal information

The legal basis on which the ±«Óătv processes your personal information is legitimate interests. The ±«Óătv’s role is to act in the public interest and to serve all audiences with content which informs, educates and entertains. It is in our legitimate interests to know how long people watch our events for and generally where our audiences are so that we can understand how far our reach is and whether the events are watched by our audiences to the end.

Sharing your information

We will use Zoom as our third party data processor in order to provide you with this event. These sessions may be recorded and, if they are, it will not be possible to opt out of this functionality. If you have a Zoom account you will have already signed up to their terms and conditions and privacy policy. Retaining your information

We hope to use your comments and questions as part of our webinars, but we can’t guarantee it. The ±«Óătv will retain your comments or questions along with your name, if you provide it, following the event. This data will be kept as outlined in our retention policies.

If your comment or question is used during the event, it will be retained and archived by the ±«Óătv in perpetuity for journalistic purposes.

Zoom will keep a copy of your name, email address, country and watch time for a period of 12 months following the webinar.

Your rights and more information

You have the right to ask for your data we collect to be deleted however there are exceptions to your rights and they may be limited in some situations for example we may refuse this request.
