Corporate Affairs Communications - Privacy Notice

Your trust is very important to us. This means the ±«Óătv is committed to protecting the privacy and security of your personal data. It is important that you read this notice so that you are aware of how and why we are using such personal data. This privacy notice describes how we collect and use personal data about you during and after your relationship with us, in accordance with data protection law.

Why are we doing this and how can you participate?

The ±«Óătv has added you to its Corporate Affairs communications mailing list database because we would like to share announcements about our corporate affairs, and send related news, updates, and invites, where relevant. This helps the ±«Óătv to keep vital partners and interested parties informed of the ±«Óătv’s work.

What personal data will the ±«Óătv collect and how will we use it?

The ±«Óătv will collect and process your personal data, which we have gathered, or you have provided to us, or has been provided to us by a third party such as the organisation you work for. We will process your personal data for the purposes of sharing announcements about our corporate affairs, and sending related news, updates, and invites, where relevant.

We want to let you know that you have been added to our communications mailing list, and give you the opportunity to tell us, if you don’t wish to hear from us.

If you are happy to hear from us, no further action is required from you. If you would prefer not to receive this information from us, you can unsubscribe by clicking the Update Preferences link in our email.  

You can use the Update Preferences link in the emails which you get from us, to unsubscribe from some or all of our communications at any time.

Please note that as a public authority we have an obligation to send critical communications to some key contacts. Where this is the case, even if you unsubscribe from all communications, you may continue to receive some direct communications from ±«Óătv Corporate Affairs. These communications will be specific to you, and only sent when required. If you would like us to remove you from our Corporate Affairs communications mailing list entirely, please reply to our email, and a member of the team will action your request.

The personal data we hold about you, which we will use in order to share corporate affairs announcements and related communications such as news, updates, and invites, where relevant, may include your:

  • Any feedback or communications from you to the Corporate Affairs team

The personal data we hold about you, which we will use in order to ensure that our stakeholder engagement is reaching all ages and gender, may include your:

  • Age
  • Date of birth
  • Gender 

Who is the Data Controller?

The ±«Óătv is the “data controller” of your personal data. This means that the ±«Óătv decides what your personal data is used for, and the ways in which it is processed. For the avoidance of doubt, your personal data will be collected and processed solely for the purposes set out in this privacy notice. As the data controller, the ±«Óătv has the responsibility to comply, and to demonstrate compliance with, data protection law. 

Lawful basis for processing your personal data

The lawful basis on which the ±«Óătv processes your personal data is as part of the ±«Óătv’s public interest task to communicate, as a chartered body, with key stakeholders who would have an interest in our activities. A function of the ±«Óătv is to engage with key opinion-formers to demonstrate how the ±«Óătv is delivering its mission and public purposes, and also in the interests of transparency and accountability. The ±«Óătv also has a duty to engage with the public.

Sharing your personal data

The ±«Óătv works with our approved third-party providers who help us to provide some of our services. These partners only use your personal data on behalf of the ±«Óătv and not independently of the ±«Óătv. We currently use a third-party data storage provider to store and process your personal data in the Corporate Affairs communications mailing list database. 

We may share personal data with a third party where required or permitted by law. 

Retaining your personal data

We will retain your data for five (5) years on a rolling basis and we will delete your data from our system if we haven’t contacted you or updated your data in that time.

Your personal data will be stored within the UK. If your data is processed outside the UK, the ±«Óătv will ensure that it is protected to the same standards as if it were being processed within the UK.

You can unsubscribe from some or all of our emails at any time by using the Update Preferences link in our emails.

Your rights and more information

You have rights under data protection law:

  • You can request a copy of the personal data the ±«Óătv stores about you.
  • You have the right to request that we rectify any inaccurate or incomplete personal data that we hold about you.
  • You have the right to ask for the personal data we collect about you to be deleted, however there are limitations and exceptions to this right which may entitle the ±«Óătv to refuse your request.
  • In certain circumstances you have the right to restrict the processing of your personal data, or to object to the processing of your personal data.
  • You have the right to ask that we transfer the personal data to you or to another organisation, in certain circumstances.

We will revise the privacy notice if there are significant changes to how we use your personal data.
