Woman's Hour Power List 2023: Women in Sport Privacy Notice

Your trust is very important to us. This means the ±«Óãtv is committed to protecting the privacy and security of your personal data. It is important that you read this notice so that you are aware of how and why we are using such personal data. This privacy notice describes how we collect and use personal data about you during and after your relationship with us, in accordance with data protection law.

Why are we doing this and how can you participate?

After an unprecedented year in women’s sport, the ±«Óãtv is looking for your suggestions for the Woman’s Hour Power List 2023: Women in Sport. This list is to celebrate women in the UK who are making a significant positive contribution to women’s sport.
Woman’s Hour listeners are able to suggest their thoughts for who should appear on the list. We’re open for your suggestion from Thursday 26th January until midnight on Wednesday 8th February 2023.

The ±«Óãtv will collect the personal data via an online platform used by the ±«Óãtv.

There are five (5) categories you can put someone forward for, which are:

  • Sportswoman
  • Leader
  • Change-maker
  • Amplifier
  • Grassroots

We ask that if you suggest someone who is not a professional in the world of sport, that you ask for their permission before you put them forward as a suggestion for the list. We also ask that you share this privacy notice with them, so they understand how we will use their personal data.

Our expert judging panel will shortlist a final thirty (30) women, and then rank them. Before deciding on a shortlist, we may get in touch with you for more information about your suggestion. We may also ask you to appear on-air to discuss the reasons behind your suggesting someone for the list.

If you or the person you suggest appears on-air, this may include the programme being available online and/or on demand, and may be used again in a future broadcast.

We may use your suggestion, on-air appearance, or information about your suggested person for promotional purposes on the ±«Óãtv’s social media sites.

Who is the Data Controller?

The ±«Óãtv is the “data controller” of your personal data. This means that the ±«Óãtv decides what your personal data is used for, and the ways in which it is processed. For the avoidance of doubt, your personal data will be collected and processed solely for the purposes set out in this privacy notice. As the data controller, the ±«Óãtv has the responsibility to comply, and to demonstrate compliance with, data protection law.

Lawful basis for processing your personal data

The legal basis on which the ±«Óãtv processes your, and your suggested person’s, personal data and special category data is the performance of its public task. The additional processing condition under which the ±«Óãtv processes the special category data is substantial public interest. The ±«Óãtv’s role is to act in the public interest and to serve all audiences with content which informs, educates, and entertains.

This is consistent with the ±«Óãtv’s wider public purposes under its Royal Charter which states that, “the ±«Óãtv should reflect the diversity of the United Kingdom both in its output and services. In doing so, the ±«Óãtv should accurately and authentically represent and portray the lives of the people of the United Kingdom today... The ±«Óãtv should bring people together for shared experiences and help contribute to the social cohesion and wellbeing of the United Kingdom.”

Sharing your personal data

The ±«Óãtv works with our approved third-party providers who help us to provide some of our services. These partners only use your personal data on behalf of the ±«Óãtv and not independently of the ±«Óãtv.

The judging panel is made up of a mixture of ±«Óãtv staff and external sport experts.

We may share personal data with a third party where required or permitted by law.

Retaining your personal data

If you or the person you suggest appear in ±«Óãtv programming or ±«Óãtv promotional content, this will be retained and archived in perpetuity by the ±«Óãtv.

We will keep all other personal data until 31st March 2024.

Your personal data will be stored in the UK and the European Economic Area (EEA).

Your rights and more information

You have rights under data protection law:

  • You can request a copy of the personal data the ±«Óãtv stores about you.
  • You have the right to request that we rectify any inaccurate or incomplete personal data that we hold about you.
  • You have the right to ask for the personal data we collect about you to be deleted, however there are limitations and exceptions to this right which may entitle the ±«Óãtv to refuse your request.
  • In certain circumstances you have the right to restrict the processing of your personal data, or to object to the processing of your personal data.
  • You have the right to ask that we transfer the personal data to you or to another organisation, in certain circumstances.

Updating this privacy notice

We will revise the privacy notice if there are significant changes to how we use your personal data.

You must be 18 years or older to suggest someone for Woman's Hour Sport Power List.

The ±«Óãtv will collect and process the following personal data about you:

  • Full name
  • Email address
  • Contact telephone number (optional)
  • Reason for suggestion if this captures some of your biographical information

The ±«Óãtv will collect and process the following personal data about your suggested person:

  • Full name
  • Category
  • Reason for suggestion if this captures some of their biographical information

The ±«Óãtv may collect and process the following special category data about you and/or your suggested person, depending on the content of your suggestion:

  • Health related data
  • Sexual orientation
  • Race or Ethnicity data
  • Religious or philosophical beliefs
